Responsibilities:
Support Program Managers including:
- Draft templates, tools, processes, communication and briefing materials
- Draft agendas, minutes and actions for AI meetings
- Maintain action, issue, risk and decision logs
- Maintain log of use cases that have been reviewed by AI governance and associated decisions
- Monitor email and follow up with colleagues to ensure timely responses
- Work with Executive Assistants and admin. staff to schedule meetings and validate participants
- Organize and publish meeting materials
Required Skills:

- Ability to prepare and edit clear, compelling presentations, briefing notes, formal meeting minutes/action items, and responses to queries/issues
- Political acuity and tact when dealing with colleagues, senior executives and project teams
- Demonstrated relationship management skills to build and maintain relationships across the organization
- Discretion when dealing with highly confidential and sensitive information
Analytical, Problem-Solving and Organizational
- Ability to ensure that stakeholders receive accurate, comprehensive and meaningful information in a timely manner.
- Ability to document fast-moving executive conversations with limited context and seek alternate sources of information to build a complete understanding of issues and next steps.
- Comfortable coordinating a variety of projects and competing priorities to meet deadlines
- Self-motivated, professional, diplomatic and capable of managing workload and prioritizing tasks in a fast-paced deadline-driven environment
Technical and computer
- Broad IT knowledge and experience
- Proficient in word processing, presentation and spreadsheet software
- Familiarity with Agile methodology and tools (e.g. Planner, kanban boards) is a plus
- Familiarity with AI technologies is a plus
